Call for Host

CAPIF 4 will take place from 25-26 September, 2025.

The call for a host is open.

Hosting CAPIF 4

CAPIF is a two-day annual event for network engineers, peering coordinators, Internet providers, cloud administrators, and data centre operators, featuring meetings, presentations, and networking opportunities.

The event will be held in Central Asia and the RIPE NCC depends on a local host for support.

Benefits of hosting CAPIF 4:

  • Your organisation will be mentioned during the opening and closing plenaries and throughout the meeting.
  • You will have the opportunity to give a brief welcome speech during the opening plenary (no sales pitches, please).
  • Your logo will be featured on the CAPIF webpages, in printed materials, on participant badges, on intermission slides, and on roll-up banners at the venue.
  • You can set up a promotional roll-up banner in the coffee break area for both days of the meeting.

Host responsibilities:

  • Assist in finding a venue for approximately 200-250 participants.
  • Help secure a venue for evening social events.
  • Provide Internet connectivity at the venue (either directly or through a sponsor).
  • Issue visa invitation letters to participants as needed.
  • Print meeting t-shirts and two roll-up banners (design and costs covered by the RIPE NCC).
  • Provide three staff members to assist with the registration desk and other tasks during the set up and event.
  • Arrange for webcast services and a photographer.
  • Promote the event locally through press, mailing lists, and invitations to local officials.

Internet connectivity requirements:

  • Minimum 250 Mbps bandwidth.
  • Reliable network access for all attendees.
  • Possible need for a separate line for the webcast.
  • IPv6 capability is a plus.
  • Coordination with the hotel to disable their Wi-Fi in meeting areas to avoid interference is recommended.

Networking dinner:

  • Evening social events play an important role at CAPIF. Options include dinners, receptions, boat tours, or other informal networking opportunities.

If you would like to host CAPIF 4, please email us by 4 November 2024 with the following information:

  • Your organisation’s name and reasons for wanting to host CAPIF.
  • The city you propose as the location, including accessibility details (e.g., airport, airlines, train connections).
  • Any local requirements, laws, or policies that might impact the event.
  • Information about internet connectivity arrangements.
  • Two or three potential venues with:
    • A plenary room of at least 250 seats “theatre-style”.
    • A breakout room of at least 150 seats “theatre-style”.
    • A coffee break area for 250-300 people.
    • Restaurants capable of seating 250 people for lunch.
    • Venues for social events with a capacity of 150 people.
  • Any additional supporting information.
