RIPE Fellowship Terms and Conditions

Introduction

This document specifies the RIPE Fellowship Programme Terms and Conditions (hereafter: “Terms and Conditions”).

Article 1 Definitions

In these Terms and Conditions, the following shall be understood to have the meaning assigned to the below:

RIPE NCC - Réseaux IP Européens Network Coordination Centre, a membership association under Dutch law, with a registered office in Amsterdam, the Netherlands.

Meeting – The RIPE Meeting, a five-day event, including the related social events, organised by the RIPE NCC, where the RIPE community gathers to discuss issues of interest to the Internet community.

RIPE Fellow(s) – An individual who has applied to participate in the RIPE Fellowship Programme and is selected by an internal selection committee to participate in the RIPE Fellowship Programme for a Meeting.

Article 2 General 

2.1 The RIPE NCC will send a link to these Terms and Conditions to the RIPE Fellow before the RIPE Fellow confirms their participation in a Meeting. By confirming their participation as a RIPE Fellow to the RIPE Meeting by email to the RIPE NCC, the RIPE Fellow confirms to have read, ­understood and agreed to be bound by these Terms and Conditions.

Article 3 Benefits for RIPE Fellows

3.1 The RIPE NCC shall register the RIPE Fellow for one full-week ticket for the Meeting, including access to all social events of the Meeting. The RIPE Meeting Registration Terms and Conditions shall apply to the RIPE Fellow.

3.2 The RIPE NCC shall arrange five nights’ accommodation for the RIPE Fellow for the duration of the Meeting and shall arrange economy flight tickets to and from the RIPE Fellow's departure location to the location of the Meeting. Flight tickets and/or accommodation booked by the RIPE Fellow, without consulting the RIPE NCC, may not be reimbursed by the RIPE NCC.

Article 4 Responsibilities for RIPE Fellows

4.1 The RIPE Fellow shall attend the entire Meeting, including the related social events.

4.2 In case the RIPE Fellow is not able to attend the Meeting, the RIPE Fellow shall inform the RIPE NCC as soon as possible. If the RIPE Fellow does not inform the RIPE NCC of their inability to attend the Meeting in a timely manner, the RIPE NCC is entitled to ask for reimbursement of already made expenses.

4.3 The RIPE Fellow is responsible to arrange and to be covered by travel insurance for the duration of the Meeting. The RIPE NCC shall reimburse the costs for the travel insurance for the duration of the Meeting to a maximum of EUR 30 according to the process described in Article 4.6. The RIPE NCC shall not be held responsible for any costs that occur to the RIPE Fellow during the Meeting due to the lack of travel insurance.

4.4 The RIPE Fellow is responsible for arranging their visa (if necessary) for travelling to the Meeting.  The RIPE NCC may provide an invitation letter if requested by the RIPE Fellow and shall reimburse the relevant costs in accordance with the process described in Article 4.6. The RIPE NCC cannot be held responsible if the RIPE Fellow is not able to attend the Meeting due to visa problems.

4.5 The RIPE Fellow is responsible for arranging their transport (e.g. taxi or public transport) to and from their departure location to the airport/station and from the airport/station to the Meeting location. The RIPE NCC shall reimburse the relevant costs in accordance with the process described in Article 4.6.

4.6 The RIPE NCC shall reimburse costs described in Articles 4.3, 4.4 and 4.5 in accordance with the process described in this article. The RIPE Fellow has to send a request for reimbursement within two weeks from the last day of the Meeting. The request for reimbursement must include the receipt of the costs and the IBAN, SWIFT/BIC and full name of the RIPE Fellow as recorded by their bank. The RIPE NCC shall fulfill the payment within one month after receipt of the request for reimbursement. The RIPE NCC shall not reimburse nor be held liable for costs that are not declared in accordance with this process.

Article 5 Privacy

5.1 The RIPE NCC will collect and process all data, including personal data, in relation to the RIPE Fellowship Programme in accordance with the Dutch and European Data laws and regulations. 

5.2 The RIPE NCC Privacy Statement applies to all personal information the RIPE NCC processes, including the collecting, publication, sharing and usage of personal information.

Article 6 Liability 

6.2 The RIPE Fellow shall indemnify the RIPE NCC against any and all third-party claims filed against the RIPE NCC in relation to being a RIPE Fellow or to the RIPE Fellow’s conduct for the performance of these Terms and Conditions.

6.3 The RIPE NCC shall not be liable for damages because of a failure to meet any obligation under these Terms and Conditions if such a failure is due to circumstances for which the RIPE NCC is not considered accountable to law, contract or trade custom.

6.4 The RIPE NCC in any event shall not be accountable for failures to perform resulting from force majeure, including but not limited to interruptions or improper functioning of power of telecommunications facilities, power failures and defects in electronic lines of communication.

Article 7 Miscellaneous

7.1 Documents, statements, disclaimers and additional terms and conditions referred to in this Terms of Service are available on https://www.ripe.net/ and may be amended by the RIPE NCC.

7.2 The RIPE NCC's intellectual property rights (agreements, documents, software, databases, website, RIPE NCC Material) may only be used, reproduced and made available to third parties upon prior written authorisation from the RIPE NCC and in accordance with the RIPE NCC Copyright Statement.

7.3 Without the RIPE NCC's prior written consent, the RIPE Fellow shall not be permitted to assign to third parties any rights or obligations that arise from these Terms and Conditions.

7.4 The RIPE Fellow acknowledges and accepts that the Terms and Conditions may be amended by the RIPE NCC. The RIPE NCC will make an announcement at least one month prior to any such amendment coming into effect, unless a more immediate change is required for legal or operational reasons.

7.5 If any provision in the Terms and Conditions is held to be invalid in a court of law, this shall not in any way affect the validity of the remaining provisions.

7.6 The Terms and Conditions prevail over explanatory documents and any text regarding RIPE Fellowship which exist for guidance and informational purposes only and do not affect the interpretation of the Terms and Conditions.

Article 8 Governing Law

These Terms and Conditions shall be exclusively governed by the laws of The Netherlands. The competent court in Amsterdam shall have exclusive jurisdiction with regards to disputes arising from these Terms and Conditions.
