The RIPE Academic Cooperation Initiative Terms and Conditions

Introduction

This document specifies The RIPE Academic Cooperation Initiative Terms and Conditions (hereafter: “Terms and Conditions”).

Article 1 Definitions 

In these Terms and Conditions, the following shall be understood to have the meaning assigned to the below:

RIPE NCC - Réseaux IP Européens Network Coordination Centre, a membership association under Dutch law, with a registered office in Amsterdam, the Netherlands.

RACI - The RIPE Academic Cooperation Initiative connects members of the academic community with the RIPE community by inviting students and researchers to present their Internet-related research at RIPE Meetings, ENOG, MENOG, SEE meetings and RIPE NCC regional meetings.

Meeting - RIPE NCC-organised event, such as RIPE Meeting, SEE Meeting, ENOG Meeting, MENOG Meeting or RIPE NCC regional meeting.

RACI Attendee(s) – An individual who has applied to participate in RACI and is selected by RACI to go to a selected Meeting.

Article 2 General

2.1 The RIPE NCC will send a link to these Terms and Conditions to the RACI Attendee before the RACI Attendee confirms their participation in a Meeting. By confirming your attendance as a RACI Attendee to the Meeting by email to the RIPE NCC, you confirm to have read, ­understood and agreed to be bound by these Terms and Conditions.

Article 3 Benefits for RACI Attendees

3.1 The RIPE NCC shall register the RACI Attendee for one ticket for the Meeting they are selected for, including access to all social events of the Meeting.

3.2 The RIPE NCC shall arrange accommodation for the RACI Attendee for the duration of the Meeting and shall arrange economy flight tickets to and from the RACI Attendee's departure location to the location of the Meeting. Economy flight tickets and/or accommodation booked by the RACI Attendee, without consulting the RIPE NCC, may not be reimbursed by the RIPE NCC.

3.3 The RIPE NCC shall submit the RACI Attendee’s slides of their presentation to the Programme Committee and/or Working Group Chairs of the chosen Meeting. The Programme Committee and/or Working Group Chairs of the chosen meeting hall decide if and for what part of the Meeting the RACI Attendee’s presentation is best suitable. It may also be decided that the RACI Attendee’s presentation shall take place during another session or not presented at all. All slides and presentation videos shall be uploaded to the Meeting archive after the Meeting.

Article 4 Responsibilities for RACI Attendees

4.1 The RACI Attendee shall attend the entire Meeting, including, but not limited to any special sessions or events organised for RACI Attendees or other academics in general.

4.2 In case the RACI Attendee is not able to attend the Meeting, the RACI Attendee shall inform the RIPE NCC as soon as possible. If the RACI Attendee does not inform the RIPE NCC of their inability to attend the Meeting in a timely manner, the RIPE NCC is entitled to ask for reimbursement of already made expenses.

4.3 The RACI Attendee is responsible to arrange and to be covered by travel insurance for the duration of the Meeting. The RIPE NCC shall reimburse the costs of the travel insurance for the duration of the Meeting to a maximum of EUR 30 according to the process described in Article 4.6. The RIPE NCC shall not be held responsible for any costs that occur to the RACI Attendee during the Meeting due to the lack of travel insurance.

4.4 The RACI Attendee is responsible to arrange their visa (if necessary) for travelling to the Meeting. Upon request by the RACI Attendee, the RIPE NCC may provide an invitation letter through the host organisation of the Meeting and shall reimburse the relevant costs in accordance with the process described in Article 4.6). The RIPE NCC cannot be held responsible for situations where the RACI Attendee is not able to attend the Meeting due to visa problems.

4.5 The RACI Attendee is responsible for their transport (e.g. taxi or public transport) to and from the airport/station to the accommodation and Meeting location. The RIPE NCC shall reimburse the relevant costs in accordance with the process described in Article 4.6. Other transport will not be reimbursed by the RIPE NCC.

4.6 The RIPE NCC shall reimburse costs described in Articles 4.3, 4.4 and 4.5 in accordance with the process described in this article.  The RACI Attendee has to send a request for reimbursement within two weeks from the last day of the Meeting. The request for reimbursement must include the invoice or receipt of the costs and the IBAN, SWIFT/BIC and full name of the RACI Attendee as recorded by their bank. The RIPE NCC shall fulfill the payment within one month after receipt of the request for reimbursement. The RIPE NCC shall not reimburse nor be held liable for costs that are not declared in accordance with this process. 

Article 5 Privacy

5.1 The RIPE NCC will collect and process all data, including personal data, in relation to RACI in accordance with the Dutch and European Data laws and regulations.

5.2 The RIPE NCC Privacy Statement applies to all personal information the RIPE NCC processes, including the collecting, publication, sharing and usage of personal information.

Article 6 Liability

6.2 The RACI Attendee shall indemnify the RIPE NCC against any and all third-party claims filed against the RIPE NCC in relation to be a RACI Attendee or to the RACI Attendee’s conduct for the performance of these Terms and Conditions.

6.3 The RIPE NCC shall not be liable for damages because of a failure to meet any obligation under these Terms and Conditions if such a failure is due to circumstances for which the RIPE NCC is not considered accountable to law, contract or trade custom.

6.4 The RIPE NCC in any event shall not be accountable for failures to perform resulting from force majeure, including but not limited to interruptions or improper functioning of power of telecommunications facilities, power failures and defects in electronic lines of communication.

Article 7 Miscellaneous

7.1 Documents, statements, disclaimers and additional terms and conditions referred to in this Terms of Service are available on https://www.ripe.net/ and may be amended by the RIPE NCC.

7.2 The RIPE NCC's intellectual property rights (agreements, documents, software, databases, website, RIPE NCC Material) may only be used, reproduced and made available to third parties upon prior written authorisation from the RIPE NCC and in accordance with the RIPE NCC Copyright Statement. 

7.3 Without the RIPE NCC's prior written consent, the RACI Attendee shall not be permitted to assign to third parties any rights or obligations that arise from these Terms and Conditions.

7.4 The RACI Attendee acknowledges and accepts that the Terms and Conditions may be amended by the RIPE NCC. The RIPE NCC will make an announcement at least one month prior to any such amendment coming into effect, unless a more immediate change is required for legal or operational reasons.

7.5 If any provision in the Terms and Conditions is held to be invalid in a court of law, this shall not in any way affect the validity of the remaining provisions.

7.6 The Terms and Conditions prevail over explanatory documents and any text regarding RACI, which exist for guidance and informational purposes only and do not affect the interpretation of the Terms and Conditions.

Article 8 Governing Law

These Terms and Conditions shall be exclusively governed by the laws of The Netherlands. The competent court in Amsterdam shall have exclusive jurisdiction with regards to disputes arising from these Terms and Conditions.
